Medintelia ("we", "us", "our") respects your privacy. This policy explains what personal data we collect, why, how we store it, and the rights you have. It applies to your use of medintelia.ai.

What data we collect

We deliberately collect very little. Specifically:

  • Your name and surname — so we can address you and label your account.
  • Your email address — for signing in, sending you your documents, and replying to support requests.
  • Where you work — the institution or organisation you enter, used only to tailor the material to your professional context.
  • The documents you order — the topic and options you choose, and the files we generate for you.
  • Files you upload — any source materials you provide for a document.
  • Payment information — handled entirely by our payment provider (Stripe). We never see or store your full card details.

We do not collect special categories of data about you, and we do not ask for anything beyond what is needed to provide the service.


How we use your data

We use your data only to:

  • Provide the service — generate and deliver the documents you order.
  • Sign you in and keep your account secure.
  • Take payment for your orders (via Stripe).
  • Respond to your questions, complaints, and suggestions.

We do not sell your data, and we do not use it for advertising.


How long we keep your data

  • Uploaded files (the source materials you give us for an order) are deleted as soon as your order is complete.
  • Generated documents are kept in your account, so that you can download them again, until your account is deleted.
  • Account data (your name, email, workplace) is kept while your account is active, so you can sign in and access the service.
  • Support messages are kept while we handle your request and for a reasonable period afterwards for our records.

You can ask us to delete your account and its data at any time (see "Your rights").


Who processes your data

We use a small number of trusted providers to run the service. They process data on our behalf, under their own security and privacy commitments:

  • Supabase — stores your account data and documents.
  • Stripe — processes payments.
  • AI providers (such as Anthropic, Google, Perplexity and OpenAI) — used to research and generate your documents from the topic and materials you provide.
  • Vercel — runs this website, including the pages of live tests.
  • Railway — runs the service that prepares your documents.

We share with these providers only what is necessary to deliver the service.


Where your data is processed

Your data may be processed on servers located inside and outside the European Economic Area by the providers listed above. Where data leaves the EEA, it is protected by appropriate safeguards required under EU law.


Live tests and the PowerPoint add-in

Lecture files from Medintelia can include live tests: the audience joins with their phones, answers each question, and the slides show the answers as they arrive. This section is about the people who take part in a live test (the audience) as well as the lecturers who run them.

What we collect from people who take part:

  • Name and surname — typed in when joining. The lecturer sees them in the results file they can download, together with each person's answers.
  • Answers — which option each person chose, whether it was right, and how quickly it came (used only to order equal scores).
  • A random device code — kept in a cookie on the phone, so that a person who reloads the page stays in the same test. It says nothing about the person.
  • The name, in a cookie on the phone — so that the next test of the same lecture opens without typing it again, together with the fact that the person agreed to the notice below.

The screen in the room never shows one person's answers — only totals, such as how many people chose each option and the average score. The one exception is the Top 5 of a quiz, which shows names. People agree to this when they join, by ticking a box; without that agreement, the phone does not join.

Why we use it: to run the test the lecturer started, and to show the results to the lecturer and to the room. We rely on the person's consent, given when joining, and on our contract with the lecturer. The lecturer decides how the results are used.

How long we keep it: names and answers are deleted automatically 12 months after the person joined. The test itself keeps working.

Demos. An empty Medintelia Live box in PowerPoint offers a demo test. A demo, with everything entered into it, is deleted after 24 hours. To limit how many demos one network can start, we keep a one-way coded form of the network address (not the address itself) for the same 24 hours.

The Medintelia Live add-in for PowerPoint shows the live test inside the slides. It reads only the settings our service saved in its own box (the lecture's join code and a key for moving through its slides) — never the rest of the presentation. To start quickly, it keeps a copy of the lecture's questions in the add-in's storage on the lecturer's computer. It collects no personal data about the lecturer. PowerPoint itself is a Microsoft product, covered by Microsoft's own privacy statement.

People who took part in a live test have the rights described below, and can also contact the lecturer who ran the test.


Your rights

Under the GDPR you have the right to:

  • Access the personal data we hold about you.
  • Correct data that is wrong or incomplete.
  • Delete your data ("right to be forgotten").
  • Object to or restrict how we use your data.
  • Receive a copy of your data in a portable form.

Security

We take reasonable technical and organisational measures to protect your data, including encryption in transit and access controls. No system is perfectly secure, but we work to keep your data safe and to limit what we collect in the first place.


Children

Medintelia is a professional tool intended for use by healthcare and education professionals. It is not directed at children and we do not knowingly collect data from anyone under 18.


Changes to this policy

We may update this policy from time to time. When we do, we will change the "Last updated" date above. Significant changes will be communicated to you.
